Student & Researcher Privacy Notice


Publication safeguards for supervisee names, research information and photographs.

Publication rule. Student information should not be added to the public Students page merely because it is known to the supervisor. The publication status of each person's information should be cleared and recorded before publication.

1. What may appear

The planned Students page may contain a supervisee's name, academic level or category, programme, cohort or year, research/project/thesis title and photograph. These fields are deliberately treated as identifiable information, not as anonymous website decoration.

2. Permission before publication

At the time of this governance review, the project does not have a completed permission register for student names, research details or photographs. Accordingly, the project should treat publication clearance as pending unless a separate record establishes that a specific student's information may be published.

  • obtain a clear record of permission or another documented lawful basis before publishing an identifiable student profile;
  • obtain specific permission for photographs rather than assuming permission to use a photograph includes every future website use;
  • where a person is a minor, obtain the appropriate parent or guardian authorization and follow applicable data-protection requirements;
  • publish only fields that are actually needed for the academic purpose; and
  • honor reasonable correction or removal requests and review the page when a student's circumstances change.

3. Research information

A thesis or project title can reveal a person's research activity even where no photograph is shown. The project should therefore avoid publishing sensitive, confidential or prematurely disclosed research material. A public title should be the approved title intended for public academic presentation.

4. Photographs

A photograph that identifies a student is personal data. The website should not rely on a generic website Terms page as permission to publish it. The project should maintain a separate consent/publication record for each image, including its source, permission status and any limits communicated by the person or their guardian.

5. Requests

Students and researchers can request correction or removal of information or raise a privacy concern by emailing aofestus@futa.edu.ng. Requests should identify the relevant page or image so it can be reviewed promptly.

6. Internal record

The project should maintain an internal consent register that is not published on the website. At minimum it should record the person, fields cleared for publication, image status where relevant, date/source of permission, any expiry or limitation, and the person responsible for confirming the record.
